Managing Events using RES

Kellogg faculty, staff, and students can use Northwestern’s RES (Room and Event System) to check room availability and submit a classroom reservation request. Mozilla Firefox or Google Chrome are the recommended browsers. Make sure to click sign in.

Reservation Policies

  • Classes have priority over events.
  • Allow an extra 15 minutes before and after your event.
    All requests must allow at least 15 MINUTES before and after the event for equipment setup, tear down, and people entering and exiting the room. If your requested reservation time starts/ends less than 15 minutes before/after another event in the same room, your request will be denied and you will be asked to change your reservation time or room.
  • Rooms are assigned based on capacity, availability, event conflicts and order received. 
    Classrooms are scheduled at the discretion of the room coordinators on a first-come, first-served basis. You may be assigned an alternate room depending on event size, room capacity, or other considerations.
  • Wait for email confirmation of your request before announcing the room of your event.
    • Please allow up to 2 business days to process your request.
    • Even if a room appears open on the calendar, there may be pending requests for the room.
    • Room trades are not allowed. If you are releasing your reserved room please cancel the reservation using RES.

 

Conference Rooms

Q: How do I book conference rooms in KGH?
A: The process will be similar to the one in Jacobs. Kellogg staff & faculty are the primary users of conference rooms. These can be booked via Exchange. The conference rooms below are available to reserve up to six months in advance.  You can find these rooms using the address directory in exchange as your location in the meeting invite.

* Students may reserve room 1388 via the student life office. All other conference rooms are restricted to faculty and staff use only.
  • All conference rooms are named as “Kellogg Global Hub [DEPT] Conference Rm FXXX” where [DEPT] is the name of the department where the conference room is located, “F” is the floor and XXX is the room number of the conference room.
  • All conference rooms except a select few can be booked by all Kellogg faculty and staff for 6 months from current date.
  • If you want to book a conference room further out than 6 months please email [email protected]

Q: My dept/team has a regularly scheduled standing meeting.  How should I book the conference space closest to our offices for the full academic year?

There are several named spaces throughout the Global Hub.  Please use this reference guide to ensure you use the correct name in internal and external communication. 


FAQ

Q: Can I reserve a study group room or conference room using RES?
A: No. Study Group rooms are not available in RES. Refer to Study Group Rooms at Kellogg

Q: Can I request more than one room at a time?
A: Yes. You can add multiple locations to a request. Each location will be approved individually. If you select more than one location, it will be assumed that you need all location (not one or the other).

Q: Can I request more than one resource at a time?
A: Yes. You can add multiple resources to a request. Each resource will be approved individually.
Note: When creating an event with multiple occurrences, you can specify for which specific date(s) you want the resource(s) for. 

Q: Do I need to select Pre-Event and Post-Event setup times?
A: No. Do not select Pre-Event and Post-Event setup times. A 15-minute transition time will be added by the scheduler to allow for set-up and clean-up.

Q: Can I reserve the fitness studio using RES?
A: Students can request a reservation of the fitness studio by contacting student affairs.  Any other requests for the fitness studio should be directed to [email protected]

Q: Can I reserve AV or furniture setup using RES?
A: Students can add resources (AV or furniture) to a reservation request using the event request wizard.  Please see the “View available resources” video above.

Q: What should I do if I can’t see the room I want to reserve?
A: If you can't see a Kellogg Global Hub classrooms, perform the following steps:

  1. Make sure you have signed in to RES; your name should appear in the upper right corner of the screen.
  2. Clear your browser's cookies and cache in case a RES update has been applied (usually on Tuesday evenings).
  3. Contact [email protected] for access.
